Job Title: Accounts Payable Specialist

SUMMARY: The Accounts Payable Specialist is responsible for multi-company payables. This employee completes payments and controls expenses by receiving, processing, verifying, and reconciling bills while working alongside the vendors, shop manager, and senior management.
ESSENTIAL DUTIES AND RESPONSIBILITIES- includes the following. Other duties may be assigned.
Timely entry, review and payment of all entity bills - attention to detail required.
Matching BOL, POD, Rate Confirmation and other receipts to the load.
Flagging bills for illegible writing or missing information.
Reconciling loans for all entities.
Enter online transactions on a weekly basis and following up on payments made to obtain bills or information as needed.
Maintaining 1099 spreadsheets of subhaulers by reconciling QB entries with load settlement totals.
Monthly duties include: AP aging analysis, uncleared checks that have been outstanding for over 30 days, research and find out if checks needed to be remade, issue any stop payments with banks as needed, etc.
Ensure that all inventory for the shop is approved by the shop manager and that all invoices to be paid are approved with signature by the shop manager.
EDUCATION and/or EXPERIENCE – High School diploma or General Education degree required, Associates degree highly preferred. Minimum of three years experience and/or training.
MATHEMATICAL SKILLS - Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.
OTHER SKILLS/QUALIFICATIONS - Computer literate - intermediate computer skills required. 35 WPM required. Ability to use Adobe PDF, Microsoft Office (Excel, Word, Outlook), QuickBooks knowledge.
